Owner Day 5: Quotes & Pipelining

Your team is working leads. Today is about making sure what they are doing inside the system is being recorded correctly so your pipeline reflects reality and your dashboard actually means something.

One rule to drill into every producer before anything else: Agency MVP only counts a quote if a premium number is entered. No premium, no quote in the system. No exceptions.


The Most Important Rule

Make this clear to every producer before they enter a single quote:

โš ๏ธ A quote is not a real quote in Agency MVP unless a premium number is entered. If there is no premium, it will not show in Quote Activity on the dashboard, it will not count toward goal tracking, and it will not reflect the actual work being done. Every quote must include the premium amount. No exceptions.


Step 1 โ€” Opening the Household Correctly

Producers should access households from the Leads or Prospects call view page.

  1. Go to Leads or Prospects in the header.
  2. Click Details on the far right of the household row.
  3. You can also use the search bar in the top right to find someone quickly.

Step 2 โ€” Entering an Auto Quote

  1. On the Details page, scroll down to the Quotes section.
  2. Click the Auto tab if it is not already selected.
  3. Click Add+ next to Competitor Quote to enter current carrier information. If you do not know the current carrier info, select Do Not Know and continue.

  4. Scroll down to enter the new quote: select the Quote Carrier, Effective Date, and Premium. Make sure the premium is filled in.
  5. Save the quote.

๐Ÿ’ก Tip: You do not need competitor quote information to use the Quote Comparison tool. You can send just your quote if you do not have current carrier details.

Step 3 โ€” Entering a Home Quote

  1. On the Details page, scroll down to the Quotes section.
  2. Click the Home tab.
  3. Click Add+ next to Competitor Quote to enter current carrier information if available.

  4. Choose the property address from the dropdown. If the address does not appear, scroll up to the Residences section to add it.
  5. Enter the Quote Carrier, Effective Date, Premium, and coverages. Make sure the premium is filled in.
  6. Save the quote.

Step 4 โ€” For Farmers Agencies Using APEX

Make sure every producer who uses APEX or PolicyCenter has the Copy to Clipboard Chrome Extension installed. This lets them copy a quote directly from APEX and paste it into Agency MVP without manual entry, keeping data clean and saving time.

  1. Install the Copy to Clipboard Chrome Extension.
  2. In APEX, navigate to the account and go to Quoting or Policies.
  3. Open the quote or policy in PolicyCenter.
  4. Click the MVP icon in the Chrome toolbar and click Copy data.
  5. Switch to the household's Details page in Agency MVP.
  6. Make sure the correct quote tab is selected (Auto or Home).
  7. Open the extension and click Paste data.

Step 5 โ€” Enter Current Carrier and Renewal Dates

Make sure producers are entering current carrier information and renewal dates whenever they have them. This is not optional data. Renewal dates power X-date workflows, which we set up tomorrow.

  • If the exact renewal date is known, enter it.
  • If only the month is known, enter the first day of that month. A close date is far better than no date.

Step 6 โ€” Moving Contacts Through the Pipeline Correctly

Make sure every producer knows exactly when to use each transition. Using these correctly is what keeps your pipeline accurate and your team working the right contacts at the right time.

Convert to Prospect Use this only after the producer has spoken to the household, confirmed their information, and completed a real quote. A lead should stay in Leads until all three of those things have happened.

โš ๏ธ Note: The Convert to Prospect button only appears once at least one quote has been entered in MVP.

Awaiting (under Prospects) After converting, if the quote has not yet been presented to the household, they sit in Awaiting. This is the holding area for quoted but not yet reviewed contacts.

Mark as Quoted Once the quote has been presented and reviewed with the household, click Mark as Quoted. This moves them to the Reviewed Quote section.

Mark as Sold When the policy sells, click Mark as Sold. Note: you can mark multiple policies as sold for the same household.

Step 7 โ€” Sending a Quote Through Quote Comparison

Agency MVP lets producers send the quote directly to the household by text or email without leaving the system.

  1. Open the household's Details page.
  2. Click Quote Comparison at the top right of the Details page, or find it in the Quotes section. It can also be accessed from the call view page by clicking the arrow to the left of the household's name.

  3. Select the recipient from the dropdown at the bottom.
  4. Click Send Text or Send Email.
