X-dates are how Agency MVP handles long-term follow-up automatically. Every household your team could not close gets assigned a workflow that reaches back out at exactly the right time — around their renewal date — without anyone on your team having to remember a thing. By the end of today, no lead walks away permanently. 


The Two Main X-Date Workflows — And Why Choosing the Right One Matters

The messaging inside each workflow is written for a specific situation. Using the wrong one sends a message that does not match the history your producer had with that household. Make sure every producer on your team knows this distinction before they start assigning X-date workflows.

X-Date Contacted Use this when a producer spoke to the household but did not close them. The follow-up messaging assumes a prior conversation took place.

X-Date No Contact Use this when a producer never reached the household. The messaging does not reference any prior conversation, because there was not one. Using the Contacted version for someone who was never reached would feel off to the person receiving it and undermine the credibility of the follow-up.

⚠️ The rule is simple: if they spoke to them, use Contacted. If they never reached them, use No Contact. Using the wrong one sends the wrong message. It matters.


Step 1 — Make Sure Renewal Dates Are Entered

X-date workflows need a renewal date to run. Without one, the system does not know when to bring the household back up. If your team entered renewal dates on Day 5, they are ahead. If not, now is the time to go back and fill those in.

  1. Open the household's Details page.
  2. Find the current carrier section under Quotes.
  3. Enter the renewal date for the line of business being targeted.

💡 Important: Auto X-Date workflows use the auto renewal date listed on the contact. Home X-Date workflows use the home renewal date listed. Make sure the right date is entered for the right line of business. If only the month is known, enter the first day of that month.


Step 2 — Confirm X-Date Pipeline Settings in Workflow Settings

By default, MVP will automatically pipeline a household to 30 days before their renewal date when an X-Date workflow is assigned. If you reviewed this on Day 3, confirm it is still set correctly.

  1. Click your name in the top right.
  2. Click Workflows.
  3. Open Workflow Settings.
  4. Under Workflow Options, find Automatically Pipeline Households Assigned to X-Date Workflow.
  5. Confirm this is checked.

When this is on: if you assign an Auto X-Date workflow, the household pipelines to the auto renewal date. If you assign a Home X-Date workflow, it pipelines to the home renewal date.

Step 3 — Set Up API Workflows to Roll Into a No Contact X-Date

This is one of the most powerful settings in Agency MVP and one that most agencies never configure. When a workflow finishes without converting a household, this automatically moves them into a No Contact X-Date workflow so the system keeps working them without any manual action from your team.

Do this for your API workflows.

  1. Click your name in the top right.
  2. Click Workflows.
  3. Open the API workflow you want to configure and click Edit.
  4. Scroll all the way to the bottom of the workflow.
  5. Use the workflow-switch dropdown at the bottom to select your No Contact X-Date workflow.
  6. Click Update.

Repeat this for each of your API workflows you would like to attach X-Dates to.

Step 4 — How to Manually Assign a Household to an X-Date Workflow

When a producer is ready to put a specific household into an X-date workflow:

  1. Open the household's Details page.
  2. Find the workflow dropdown at the top center of the Details page.
  3. Select the correct X-date workflow: Contacted or No Contact.
  4. Apply the workflow.

⚠️ Note: The Workflow tab on the contact only shows details on workflows that have already been assigned. It is not where you go to assign one. Assignment happens from the dropdown at the top center of the Details page, or from the call view page workflow dropdown.


What Happens After Assignment

Once an X-date workflow is assigned:

  • If Automatically Pipeline Households Assigned to X-Date Workflow is turned on, the household is pipelined automatically 30 days before their renewal date.
  • If you assigned an Auto X-Date workflow, it pipelines to the auto renewal date.
  • If you assigned a Home X-Date workflow, it pipelines to the home renewal date.

No reminders to set. No follow-up to schedule. The system handles it from there.
