Owner Day 3: Account Settings & Workflows

Leads are in. Texting and email are connected. Today is where the system starts doing the work for you.

Workflows are what send the texts, trigger the emails, and keep follow-up running automatically on every lead, even when you are busy. Once these are live, you are not just storing leads in MVP. You are actively working them around the clock. This is what separates agencies that see results fast from the ones that wonder why nothing is happening.


Step 1 — Confirm Your Account Settings Before You Build

Before building any workflows, confirm your account settings are correct. Workflows pull from these settings when they run.

  1. Click your name in the top right.
  2. Click Account Information.
  3. Review your owner-level settings and confirm everything from Days 1 and 2 is in place correctly.

Step 2 — Understand the Three Workflow Types

Before you build, know what each type is for. Getting this wrong is one of the most common setup mistakes.

  1. Click your name in the top right.
  2. Click Workflows.
  • API — For leads that come into Agency MVP automatically from a lead source or integration. These fire on their own when a new lead arrives. You only need one API workflow per lead source.
  • Custom — For leads you want to assign a workflow to manually. If you are importing a list or working leads by hand, this is the type you will use.
  • X-Date — For renewal-based follow-up. Covered in full on Day 6. Do not build these today.

Step 3 — Build Your First Workflow

  1. On the Workflows page, click Workflow Templates in the top right.
  2. Find the workflow type you want to build first: API or Custom.
  3. Browse the templates and click View on the one that fits your agency.
  4. Click the green Edit and Use Template button at the bottom.
  5. Give the workflow a clear name.
  6. If setting up an API Workflow, choose the Lead Source for this workflow. You can only have one workflow per lead source.
  7. Scroll to Notification Settings and choose how leads will be distributed:
    • Distribute Automatically — MVP assigns leads to producers automatically.
    • Distribute Manually — Leads come in unassigned. This is the "Shark Tank" method where you decide who gets what.
  8. Set the assignment up the way you want it for your agency.
  9. Review the workflow actions, scroll to the bottom, and click Update.

Step 4 — Set Up Lead Re-Engagement

Go back to Workflow Templates and find the Lead Re-Engagement workflow. This workflow reaches back out to leads that went cold and never converted — leads you have already paid for. Build it the same way as your first workflow.

⚠️ Important: Keep Lead Re-Engagement to 100 leads per day per producer. Running it at higher volumes creates more responses than your team can handle effectively and reduces the quality of every conversation. 


Step 5 — Review Workflow Settings

  1. Click your name in the top right.
  2. Click Workflows.
  3. Open Workflow Settings.

Review and configure the following:

Hours of Availability The hours you want workflow texts and emails sent on your behalf. Defaults to Sunday–Saturday, 8am–8pm. Adjust this to match the hours you want outreach going out.

Holiday Options All federal holidays are halted by default. You can add custom holidays — such as state-specific holidays — by clicking Add Custom Holiday at the bottom of the holiday list. You can also set partial-day halts if your agency has reduced hours on certain days.

Allow Team Members to Edit Workflows Controls whether producers can make changes to workflows on their own. Check this box if you want to grant that permission.

Automatically Pipeline Households Assigned to X-Date Workflow When enabled, MVP automatically pipelines a household to 30 days before their renewal date when an X-date workflow is assigned. This setting is ready for when you set up X-dates on Day 6.

💡 Tip: Make sure to click Save at the bottom of Workflow Settings when you are done.
