Producer Day 2: Phone, Texting, and Email Setup

Day 1 is done and you are in the system. Here is something most producers never think about until it is too late: every automated text and email that goes out on your behalf needs to actually look like it is coming from you.

Today you are setting that up. Your texting number, your email address, your signature. Five minutes of setup today means every lead your agency works gets a professional, personal touchpoint from day one. That is the difference between a system that feels robotic and one that actually converts.


Step 1 β€” Connect Your Individual Texting Number

⚠️ Skip this step if your agency uses a shared texting number. Your agency owner will let you know which setup your agency uses.

If your agency uses individual texting numbers, follow the steps for your provider below.

RingCentral:

  1. Click your name in the top right.
  2. Click My Account Settings.
  3. Under RingCentral Settings, click Connect Your Account.
  4. Log in to your RingCentral account.
  5. Once logged in, your texting number should automatically fill into the RingCentral SMS Number box. If it does not, type it in manually.

πŸ’‘ Tip: If you receive a "Token Invalid" popup, go to My Account Settings, disconnect your RingCentral account, and reconnect it. You may also receive an email prompting you to do the same.

Ooma Office:

  1. Click your name in the top right.
  2. Click My Account Settings.
  3. Under Ooma Office Settings, click Connect Your Account.
  4. Log in using your user password (not your admin password).
  5. After logging in, type your individual texting number into the Ooma Office Texting Number box.
  6. Click Update at the bottom of the page.

GoTo:

Once your agency owner has enabled GoTo for the agency account, you can connect your individual GoTo account.

  1. Click your name in the top right.
  2. Click My Account Settings.
  3. Under GoTo Connect Settings, click Connect Your Account.
  4. Log in with your GoTo credentials.
  5. Select the number you want to text from.

Step 2 β€” Set Up Your Email Signature

Every quote comparison email and workflow email that goes out under your name uses your personal email signature. If it is not set up, those emails go out looking unfinished.

  1. Click your name in the top right.
  2. Click My Account Settings.
  3. Scroll down to Custom Email Signature.
  4. Enter or upload your signature.
  5. Click Test Email Signature to preview how it looks.
  6. Click Save.

Step 3 β€” Set Up SMTP So Emails Send From Your Real Address

⚠️ Skip this step if you are a Farmers agent or if your agency owner manages the email domain.

SMTP connects your real email address to Agency MVP so every email the system sends on your behalf comes from you, not a generic address.

Gmail:

  1. Go to your Google Account β†’ click Manage your Google Account.
  2. Click Security in the left menu.
  3. Enable 2-Step Verification and complete the setup.
  4. Search for App Password in the Security page search bar and select it.
  5. Select Mail as the app and name it Agency MVP.
  6. Click Generate and copy the 16-character code. Save it before closing the window.
  7. In Agency MVP: click your name β†’ My Account Settings β†’ enter smtp.gmail.com as SMTP Domain, your Gmail as SMTP Username, paste the code as SMTP Password β†’ Update.

Office365:

  1. In Agency MVP: click your name β†’ My Account Settings.
  2. Enter smtp.office365.com as SMTP Domain.
  3. Enter your username, email address, and password.
  4. Click Update, then click Test SMTP Settings.

Outlook:

  1. In Agency MVP: click your name β†’ My Account Settings.
  2. Enter smtp-mail.outlook.com as SMTP Domain.
  3. Enter your email address as SMTP Username.
  4. Click Set SMTP Password and enter your email password.
  5. Click Update.
